Procurement Process
1. Initial Assessment
Before requesting a new AI tool, check if an approved alternative exists. Review the approved tools list and consult with your team lead.
2. Submit Request
Complete the AI Tool Request form in ServiceNow. Include business justification, data types involved, number of users, and budget information.
3. Security Review
The security team evaluates the tool's data handling practices, compliance certifications, and integration requirements.
4. Approval & Deployment
Once approved, IT will assist with procurement, licensing, and deployment. Training resources will be provided.

Training Data Usage
Will your inputs be used to train the AI model? Enterprise versions typically offer opt-out options.
SOC 2 Compliance
Does the vendor have SOC 2 Type II certification? This is a minimum requirement for handling company data.
SSO Integration
Does the tool support SAML/SSO integration with our identity provider for secure authentication?
Audit Logging
Does the tool provide audit logs of user activity and data access for compliance purposes?
Data Export & Deletion
Can you export your data and request deletion if you discontinue the service?
